How to extract specific pages from a PDF

· 4 min read

To send only some pages of a PDF, choose the page numbers you need and save them as a new file. A range such as 1-3, 5 picks pages 1, 2, 3 and 5. Splitting a document into single pages works the same way, with one file per page. The original PDF stays exactly as it was, as long as you save the result to a new file.

Why extract only some pages

A smaller file uploads faster and is easier for the recipient to open. Sending only the relevant pages also keeps unrelated information out of the message. A bank statement or a contract often has pages the other person does not need. If it is easier to name the pages you do not want, delete them instead and keep the rest.

Leaving pages out is not the same as removing private information. The section on hidden content below explains why.

Page range syntax

Most tools use a short, comma-separated list. A hyphen means a span of pages, and a comma separates the parts.

You typePages you get
5Page 5 only
1-3Pages 1, 2 and 3
1-3, 5Pages 1, 2, 3 and 5
2, 7-9Pages 2, 7, 8 and 9

Page numbers in a range refer to the position of the page in the file, not the number printed on it. A document with a cover page or roman-numbered front matter can have printed numbers that differ from the positions. Check in your viewer which page is which before you type the range.

Splitting into single pages

When each page needs to go to a different person, or when you want to check pages one at a time, split the file so that each page becomes its own PDF. Use names that include the page number, such as contract-page-03.pdf, so the order is obvious. If you need to send many files together, put them in a folder or a zip archive.

Keep the original intact

A good tool writes new files and leaves the original alone. Even so, get into the habit of doing three things:

  • Save the output under a new name that describes it, such as contract-pages-3-to-5.pdf
  • Keep the original as the master copy for your records
  • Open the new file and count its pages before you send it

Removing pages is not the same as hiding content

Pages you remove are gone from the new file, but information on the pages you keep is still there. Form fields, comments, bookmarks and hidden text layers can all stay. Document properties such as the author name or title can also remain. A black box drawn over text in a PDF covers it on screen but leaves the text underneath, so use a proper redaction method when content must not be readable. The principle is the same as in why blur and boxes can fail: only a box that replaces the content on a flat copy is safe.

Common extraction jobs

  • One signed page from a longer contract, when you know its page number.
  • The first few pages of a report, to share a summary.
  • Pages 1 and 2 of a form, while the rest stays with you.
  • Every page as a separate file, so each can be filed or sent to a different person.

Check the new file

Open the output and look at the first and last pages before you send it. Confirm that the page count matches the range you typed. If the pages come out in the wrong order, the range was probably entered differently from what you intended.

Scanned documents and rotation

Pages extracted from a scan keep their orientation. If a scanned page is sideways in the original, it will be sideways in the extract too. Fix the rotation in the original copy first, or read why scanned PDFs come out sideways for the details.

Split first, then combine

You can also split a large file, edit or replace individual parts, and merge only the parts you still need. Keep the separate parts together with a clear naming scheme, so you can rebuild the full document later if you need to.

Quick answers

Does splitting change the original file? Not when the tool writes a new file. Keep a copy of the original anyway before you start.

Why do my page numbers differ from the ones printed on the pages? Ranges use the position of each page in the file. A printed number can be different, especially after a cover page.

Is removing a page the same as hiding it? No. The removed pages are gone, but the text, comments and metadata on the pages you keep remain in the file.
